5. Examination arrangements

5.1    General rules

5.1.1 Subjects generally end with an examination or a credit test. Upon signing up for a subject, the student assumes the obligation to undergo the final assessment of achievement of the learning objectives of the respective subject, i.e. an examination or a credit test.

5.1.2 The purpose of examinations and credit tests is to assess the achievement of learning outcomes.

In the case of a subject ending with an examination, the student’s level of achievement of the learning outcomes is graded using differentiated assessment. In such a case, the following common grading scale is used to determine the final grade:

The positive grades:

A = 5.00 grade points

B = 4.00 grade points

C = 3.00 grade points

D = 2.00 grade points

E = 1.00 grade points

A negative grade:

F = 0 grade points

The meanings of the letter grades are as follows (is the following):

A = “excellent” – outstanding and especially thorough acquisition of the intended learning outcomes, characterised by higher than the required ability to freely and creatively use the knowledge and skills;

B = “very good” – very good level of the acquisition of the intended learning outcomes, characterised by the ability to purposefully and creatively use the knowledge and skills. In terms of more specific and detailed knowledge and skills, shortcomings unrelated to the content and principle may occur;

C = “good” – good level of the acquisition of the intended learning outcomes, characterised by the ability to purposefully use the knowledge and skills. In terms of more specific and detailed knowledge and skills uncertainty and inaccuracy occur;

D = “satisfactory” – sufficient level of the acquisition of the intended learning outcomes, characterised by the ability to use knowledge and skills in typical situations; in case of exceptional situations shortcomings and uncertainty occur;

E = “poor” – the level of acquired learning outcomes is minimum; characterised by limited use of skills and knowledge in typical situations; in case of exceptional situations, considerable shortcomings and uncertainty occur;

F = “insufficient, failure” – the student has no minimum level of knowledge of the subject.

In case of a preliminary exam, the student´s level of the acquired intended learning outcomes is graded with a passed or not passed. To calculate the total grade, the following common grading scale is used:

P = “passed” – the level of the acquisition of the learning outcomes corresponds to or is beyond the required level;

F = “not passed” – the level of the acquisition of the learning outcomes is lower than the required minimum.

5.1.3 The total grade of the subject is formed on the basis of the level and scope of knowledge and skills acquired by the student and proved in tests, homework and/or the exam. The corresponding grading methods and grading criteria are explained in the syllabus. Calculations are made and entered into OIS and e-learning management system by the respective lecturer delivering the subject.

5.1.4 The recalculation system of the grades according to the grading scale, which was valid until 31.08.2007 at EBS, is the following:

5.1.5 Students are allowed to take an examination if they have fulfilled all of the requirements for taking the examination set forth in the syllabus and they have no tuition fee debt.

5.1.6 Students are not allowed to take an examination if they have not fulfilled the requirements for taking the examination set forth in the syllabus (homework, tests, etc.). The subject’s lecturer will make a respective note in the SIS examination minutes (“not allowed to the examination, requirements not met”).

5.1.7 Examinations can be taken twice: during the main examination and during a resit. Students can choose between two main examination times – main examination 1 or main examination 2. Main examination 1 takes place after the end of the course during the study semester or the following exam session; main examination 2 takes place during the examination session immediately following the study semester. Main examination 2 of the last semester of the nominal study programme takes place during the semester. In the case of a written home examination that must be submitted within seven calendar days, the lecturer may cancel the second examination (main examination 2). Term papers and the business plan prepared during the Business Planning course cannot be resubmitted.

5.1.8 Passing the main examination is mandatory for students. All students are initially registered for main examination 1. Students have the right to register for main examination 2 instead of main examination 1 within two working days before main examination 1 takes place. This can be done via the SIS or by informing the Office of Academic Affairs. Re-registering for main examination 1 after registering for main examination 2 is generally not possible. As an exception, students can do this with a good reason, but no later than two working days before main examination 1 by informing the Office of Academic Affairs. If a student fails to attend main examination 1, they are marked down as “did not show” in the examination minutes. Students who fail to show up for main examination 1 and main examination 2 are given “F” as the final grade for the subject. Students who fail to show up for the main examination must resit it.

5.1.9 Students who fail the main examination or a resit must retake the respective course. The tuition fee for retaking the course is charged according to the credits of the given subject.

5.1.10 In order to improve the final grade for a subject of the current semester, the student must pass the resit. The terms and conditions of resitting and resubmitting other tests and assignments (home assignments, tests, etc.) are set forth in the syllabus. In order to improve the final grade for a course taken during previous semesters, the student must retake the course and pay the tuition fee again.

5.2    Arrangement of the examination session

5.2.1 The Office of Academic Affairs prepares an examination schedule for each study group, where all times of main examinations are recorded. There must be at least two days between examinations 1 of two subjects. Examination plans are approved by the Head of the Office of Academic Affairs.

5.2.2 Examination plans are published by the 8th study week of the semester.

5.2.3 In order to record the examination results, the Office of Academic Affairs prepares examination minutes, recording the names of all students allowed to the examination therein. In the case of passing a resit during main examination 2, the Office of Academic Affairs prepares resit minutes with the date of the main examination. The lecturer is not allowed to supplement the minutes.

5.3    Arrangement of make-up exams

5.3.1 Make-up exams take place at the beginning of the following semester at the latest. The resit can also take place during the date of main examination 2 upon agreement with the lecturer.

5.3.2 Students who received an “F” as the final grade for the main examination must resit the examination. Students who passed the main examination and wish to improve their final grade are also permitted to make-up the exam. The grade received during the last examination will apply.

5.3.3 The make-up exam is paid and the fee is established in the tuition fee price list by the decision of the Board of EBS.

5.3.4 In order to register for the make-up exam, the student must pay the make-up exam fee, after which they are entered on the exam list at the Office of Academic Affairs. Students must register for the make-up exam at the Office of Academic Affairs within three working days before the examination.

5.3.5 In the event of failing the make-up exam or failure to show up for the resit, the student must declare the respective subject again and pay for it. Students who fail to attend the make-up exam are marked as “did not show” in the examination minutes and given an “F” as the final grade for the subject.

5.4    Arrangement of examinations

5.4.1 The examination is generally conducted by the lecturer who taught the subject. The Head of the Office of Academic Affairs has the right to designate another lecturer to conduct an examination or form a committee for conducting an exam or a credit test on the basis of a proposal of the Head of the respective Department or a substantiated application of the student. The lecturer conducting the examination is assisted by an employee of the Office of Academic Affairs or the examiner. Assistants are generally appointed by the Head of the Office of Academic Affairs at the lecturer’s request.

5.4.2 Only the students entered in the examination minutes are allowed to enter the examination room. Students must bring an identity document (which is checked in order to identify the examinee where necessary). Students’ entry into the examination room is organised by the lecturer conducting the exam or an employee of the Office of Academic Affairs.

5.4.3 The conditions in the examination room must ensure that examinees provide answers individually where necessary.

5.4.4 In the case of a written examination, students are generally seated individually and allowed to bring only what is necessary for completing the examination paper. Other personal belongings are placed in the designated place in the examination room.

5.4.5 The lecturer generally prepares three versions of examination tasks. The tasks of main examination 1, main examination 2 and the resit are different but generally on the same level in terms of difficulty. Exceptions are described in the syllabus.

5.4.6 Students are generally not allowed to leave the examination room during an exam that takes place in a lecture hall. The lecturer conducting the examination may allow a student to leave the examination room if they have a good reason for doing so.

5.4.7 Using aids, incl. smart devices, during an examination taking place in a lecture hall is generally prohibited. The lecturer may introduce exceptions, which must be described in the syllabus and made known to the student along with the examination paper.

5.4.8 If a student commits academic fraud in the cases set forth in clause 10.1 of these regulations or significantly violates generally acknowledged rules of behaviour or academic practices, they are removed from the examination and given an “F” as the grade in the examination minutes or a “fail” in the case of a credit test.

5.4.9 The Office of Academic Affairs records the removal from the examination under the student data in the SIS as a violation of student ethics. In the event of a repeated violation, the Head of the Office of Academic Affairs questions the suitability of the student for the EBS student body.

5.4.10 The examination is conducted in the language of instruction of the subject. Examinations can be taken in another language only upon agreement with the lecturer.

5.5 Publication of examination results

5.5.1 The lecturer grades examination papers and approves the examination minutes in the SIS within 10 working days of conducting the examination. The lecturer coordinates any exceptions with the Office of Academic Affairs and notifies the students who have registered for the subject of the new date.

5.5.2 Students have one week starting from publication of the examination results to dispute their result. To this end, they must submit a written appeal in the language of instruction of the subject to the Head of the Office of Academic Affairs.

5.5.3 The appeal is reviewed by the Head of the Department/Centre who organises the teaching of the respective subject.

5.5.4 Students can apply for a certificate of their study achievements that describes the volumes and grades of subjects passed from the Academic Secretary of the Office of Academic Affairs. Students can regularly monitor their academic achievements in the SIS.
